Top Tips on How to Effectively Write a Formal Letter

A formal letter is written by hand. This type of letter is commonly used as a reference to compliment an application for a job or when applying to a specific college. The type of paper that is used when writing a formal letter has lines and no margins and is called composition paper.

Sentences and Wording:
The first paragraph of your formal letter needs to include the purpose of the letter. Avoid the use of long words to keep the content short and concise. Make sure these sentences do not contain any unnecessary words that can distract the reader from your message. Repeat this process throughout the entirety of the letter.
Use of Tone:
Writing a formal letter will require using a tone that is more formal than language that is typically used daily by most people. Make sure to spell out all words that you use and do not use contractions. Formal letters need to have a respectful tone, even if you are expressing a problem or concern.
Letter Heading:
The heading of a formal letter needs to include your address and the current date. Do not put your name in the letter heading. If needed, you can include your telephone number and email address. The heading placement on the letter is in the upper-left corner.
Inside Address:
The person to whom you are writing is included in the inside address. You will typically place an inside address for a formal letter one to two lines below the heading. Include the person’ name or use a title, if a name is not known.
The Salutation:
The beginning of a formal letter is the salutation. Begin the salutation with the word “Dear” that is then followed by their title such as “Mr.,” “Mrs.,” or “Ms.” If you do not know a name you will write “Dear Sir or Madam.”
Body and Signature:
The body of a formal letter begins one line below the salutation. This is the main part for a formal letter and needs to be broken into reasonable paragraphs. When you are finished with the body of the letter it will need a signature. Include a closing such as “Yours sincerely,” and then write your name below.
Mailing Envelope:
The standard type of envelope to use for mailing a formal letter is as called commercial white. This is a type of envelope that has self-seal or adhesive glue. The typical size envelopes that are used with your formal letters are known as DL. This is a compliment slip size envelope having a depth which measures 110mm and a width of 220mm. You can use business envelopes or printed envelopes to mail a letter.

Folding and Envelope Size:
A formal letter that is to be mailed will need to be folder. A standard size paper that is 8 ½ inches by 11 inches needs to be folded two times to fit into a standard letter size envelope. When you fold your letter correctly it will have three sections.
